Policies

At NuHope Psychiatry, we strive to provide timely and effective care. These office policies are in place to help us serve you better and ensure clear expectations for all patients.

Rescheduling & Cancellation Policy

We understand that life can be unpredictable. If you need to cancel or reschedule your appointment, we kindly request at least 24 hours' notice.

Cancellation Fees:

  • • Appointments canceled with less than 24 hours' notice or "no-shows" may incur a fee.
  • • $100 for Initial Psychiatric Evaluations
  • • $50 for Follow-Up Appointments

By informing us in advance, you allow us to offer your appointment time to another patient who may be waiting. Exceptions may be considered on a case-by-case basis.

Late Arrival Policy

  • • Initial evaluations have a 15-minute grace period.
  • • Follow-up appointments have a 5-minute grace period.
  • • If you arrive late, your session will still end at the originally scheduled time.
  • • If the provider is late, you will receive your full appointment time.
  • • Patients arriving after the grace period may need to reschedule and may be considered a no-show.

Urgent Appointment Requests

We will do our best to accommodate urgent appointment requests. However, same-day appointments cannot be guaranteed.

Important: NuHope Psychiatry is not a crisis center.

If you are experiencing a mental health emergency, call 911 or 988 (Suicide & Crisis Lifeline), or go to your nearest emergency department.

Coordination of Benefits

If you have multiple insurance plans, please inform us which plan is primary and which is secondary.

Patients are responsible for understanding their insurance benefits, including deductibles, copays, coinsurance, and coverage limitations. While we make reasonable efforts to verify eligibility, coverage cannot be guaranteed by our office.

Form Completion & Documentation Policy

Forms (e.g., disability, workplace/school accommodations, FMLA, insurance letters) may require additional fees and are completed at the provider's discretion. These services are billed separately because they are completed outside of your scheduled appointment time and are generally not covered by insurance.

  • • Fees are based on the length and complexity of the request.
  • • Payment is required prior to the release of completed forms.
  • • Please allow 7–10 business days for processing.
  • • Requests should be submitted during scheduled appointments whenever possible.
  • • Extensive letters, record reviews, or time spent communicating with outside agencies may incur additional fees.

Emotional Support Animal (ESA) Letter Policy

Requests for ESA letters are evaluated on a case-by-case basis and must meet clinical and legal requirements.

  • • Letters are only provided for established patients.
  • • A comprehensive assessment is required and may take multiple appointments.
  • • Approval is not guaranteed.
  • • Additional fees may apply for documentation preparation.

Prescription Refill Policy

  • • Routine refills should be requested during appointments whenever possible.
  • • Please allow at least 72 business hours for refill requests.
  • • Refill requests may require a follow-up appointment depending on the medication prescribed and time since your last visit.
  • • Medication coverage is determined by your insurance company and pharmacy.

Controlled Medications

  • • Early refills are generally not provided.
  • • Lost or stolen medications may not be replaced.
  • • Prescribing decisions remain at the provider's discretion.

Controlled Substance Policy

Controlled substances are prescribed only when clinically appropriate and may require regular follow-up appointments and monitoring.

Medication misuse, diversion, failure to follow treatment recommendations, or ongoing illicit substance use may result in modification or discontinuation of controlled substance prescribing.

Billing & Payment Policy

All patients are required to maintain a valid credit card on file. This helps ensure prompt payment for copays, balances, missed appointment fees, and documentation requests.

Medical Records Policy

  • • Records are maintained in compliance with HIPAA and professional standards.
  • • A signed Release of Information is required before sharing records with third parties.
  • • Fees may apply for copying, summaries, or administrative preparation of records.
  • • Please note that treatment visits are intended for psychiatric evaluation, diagnosis, and treatment planning. Our practice does not provide court-ordered, custody, competency, or other forensic evaluations.
